IDRS2025 54th Annual Conference June 10-14, 2025 Butler University Indianapolis, Indiana, USA

The 2025 IDRS Conference will be held at Butler University in Indianapolis, Indiana. The exhibits will be located in Dugan Hall, which is a very short walk across a courtyard from the music building.

Don’t delay. Register early to take advantage of our Early Bird discount and keep in mind some items are in limited supply on a first come, first served basis.

Exhibitors must be up to date members of the IDRS at the Business Membership Level or above to exhibit.

THE VENUE

Dugan Hall is a modern building with lots of open air spaces. There are three distinct types of spaces for exhibitors. You will get to choose between the Lobby, the Atrium or Large Exhibit Rooms with several tables. All are subject to availability.

For the most part, the facility has dictated the layouts and the IDRS has no control over the setup of the exhibits in the building.. So there are some imposed constraints that are not common for us. Please carefully make note of these constraints when considering your choices. Also note that the number of spaces in the Lobby and Atrium are limited and will be assigned on a first come first served basis.

THE LOBBY

Located at the main entrance, this is the first set of exhibits that every participant will see.

As per the facility, all exhibit tables in the Lobby must be against the wall. Vendors must work in front of their tables. No exceptions.

Atrium – Butler University, Indianapolis

THE ATRIUM

Located on the second floor, the atrium overlooks the Lobby. Because of the open concept of the facility this exhibit area can clearly be seen from the first floor

As per the facility, all exhibit tables must be against the wall. Vendors must work in front of their booth. No exceptions.

LARGE EXHIBIT ROOMS

There are 3 large classrooms on the 1st and 2nd floors which will accommodate several exhibitors. Most likely the tables will be arranged in a linear fashion.

As per the facility, all exhibit tables will be 5 feet by 30”. Not our usual 6’ or 8’ tables.

Recruiting Organizations

The International Double Reed Society is offering a Recruiting Organizations category for exhibits during the IDRS 2025 conference.

Terms:
Purpose of exhibiting will be to promote and recruit only. Selling of products is not allowed.
Recruiting Organizations may be universities, schools, colleges, non profit organizations, military or community bands.
Reservations must be made and managed by official administrative representatives of the organization to which they belong (e.g. chair, director, administrative assistant, recruitment specialist, etc.). The 2 exhibitor badges will be designated to specific representatives of the organizations. All exhibitors will be present at the booth a minimum of 4 hours a day. Only representatives who are IDRS members may perform at the conference.

No IDRS membership is required for this flat rate
Pricing: $450
Exhibit Space for Recruiting Organizations will be in a Large Exhibit Room: 1 5ft table + 2 exhibitors badges
